Program Support Assistant

The Fisher House Program Support Assistant (PSA) is responsible for assisting the Fisher House Manager with all aspects of the Fisher House Program. The incumbent works in conjunction with the Fisher House Manager, Assistant Manager and Housekeepers, and assists with the daily operations of the Fisher House. The incumbent provides administrative and clerical support necessary to support the management and coordination of both the Fisher House in Hotels for Heroes Programs. Duties include, but are not limited to:
Assists the Fisher House Manager with all aspects of the Fisher House Program. Works in conjunction with the Fisher House Manager, Assistant Manager and Housekeepers, and assists with the daily operations of the Fisher House. Interacts with a variety of stakeholders, to include patients, guests, clinical providers, military liaisons, volunteers, community supporters, hospital leadership, VACO Fisher House Program Manager, Congressional staff, Fisher House Foundation personnel in the general public. Assists with inquiries regarding policies, procedures and standards; lodging eligibility; referral processes; staff/volunteer opportunities; appropriateness of monetary and offer of in-kind donations. Greets guests and conducts guest orientations and safety briefings, including explaining Fisher House standards and house rules. Receives and addresses guest complaints. Uses tact diplomatically to handle guests that are non-compliant with the program expectations. Conducts informal guest satisfaction surveys and works with the Fisher House manager to improve service. Assists with the management of regular tour and off-tour events in the Fisher House conducted by volunteers. Briefs the Fisher House Manager with regular tour and off-tour events conducted by staff, volunteers, and Veterans Service Organizations. Ensures the facility is in compliance with health, safety, privacy, and sanitation rules and regulations. Assists with monitoring the cleanliness and safety of the facility through daily observation of communal living areas as directed, guest room checks as needed. Assist in the preparation and tracking of work orders. Maintains database to ensure accuracy of currently lodged guests, upcoming departures and needs for extension, cancellations and re-bookings, daily room availability, and all projected lodging needs. Assists with maintaining a schedule of bed availability and lodging needs to maximize bed utilization. Serves as the purchase order clerk for the submission of VA forms for the request, turn-in receipts for property or services. Collects, compiles and tracks data and statistical information to support program operations. Other duties as assigned. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience, education, or combination of education and experience as described below:

Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
data entry; managing and maintaining databases; customer service skills; preparation of documents; logging and review of correspondence; office automation skills; administrative support to an office; maintain electronic logs; answer and route telephone calls and vouchers; monitor and order office supplies; maintain automated calendar; train volunteers; serving as a purchase card holder; expertise using software applications (word processing, database, spreadsheet). OR, Education:
Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years of education beyond high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university and must demonstrate the knowledge, skills, and abilities necessary to do the work. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. If qualifying via education a copy of your transcript must be submitted with your application. OR, Combination:
Applicants may also combine education and experience to qualify at this level. Education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement.
